Stop retyping booking emails into transfers

Booking confirmations land in your inbox all day. Here is how to turn them into ready-to-confirm transfers without copying a single field.

Stop retyping booking emails into transfers

Every transfer desk already has a booking system. It is your inbox. Confirmations from hotels, from booking sites, from the aggregator you signed up with two years ago, they all land in the same place, all day. The problem is that an email is not a transfer. Someone has to read it, understand it, and type it into whatever you actually dispatch from.

The retyping tax

Look at what happens to one booking email today. It arrives. You open it, find the pickup time buried under a signature and a "do not reply" banner, work out which hotel it is for, and copy the guest name, the flight, the time and the address into your sheet or your board. Then you do it again for the next one. On a busy morning that is fifty small acts of typing, each one a chance to drop a digit off a flight number or read 15:30 as 5:30.

Nobody decided to work this way. It is just what happens when bookings arrive as prose and your dispatch needs fields.

What "email to transfer" means

The fix is to let the email become the transfer, structured, before it reaches you. Connect the inbox where your bookings already land and email import reads each new booking, pulls out the guest, route, date, time and price, and drops a ready-to-confirm transfer into your queue. You did not forward anything by hand. You did not retype anything. The booking is sitting there, parsed, waiting for a yes.

From there it is the same one-tap flow as every other channel. Confirm it, assign a driver, and the driver gets the pickup on their phone. The email that started it is still in your inbox if you ever need it, but it is no longer the thing you work from.

What to look for

The test is simple. Count the steps between a booking email arriving and a driver knowing about it. If any of those steps is a human copying text from one screen to another, that is the step to remove. Not by reading faster or keeping a tidier spreadsheet, but by letting the channel feed a queue directly.

That is what email import is for: your bookings already arrive as email, so let the email do the typing.
